When the "Select Object" dropdown is left blank in the search, the search results include files and notes related to both the record and the user. This results in duplicate entries in the search results.

To avoid this issue, you should select either the User or the specific Object from which you want to view or download files/notes.

Steps to Avoid Duplicate Files in Search Results (For Files):

  • Go to the "Related Files and Attachments" tab.
  • In the "Select Object" dropdown, select "File".
  • If you're using a SOQL query to filter files, enter your query in the "SOQL for Files" section.
  • In the "Select Object" dropdown, choose the object (e.g., Account, Opportunity) that you want to download files from.
  • If you want to filter results for specific records (e.g., specific accounts), add the necessary query in the "Query Object" field.
  • Click "Search".

  • Now only files related to selected objects will show in search results and not related to user.

By following these steps, only files related to the specific object you selected will appear in the search results, eliminating user-related files.

Steps to Avoid Duplicate Files in Search Results (For Lightning Notes):

  • Go to the "Notes" tab.
  • In the "Select Type" dropdown, select "Lightning Notes".
  • If you're using a SOQL query to filter notes, add your query in the "SOQL" section.
  • In the "Select Object" dropdown, choose the object (e.g., Account, Opportunity) that you want to download notes from.
  • Click "Search".
  • Now, only Lightning Notes related to the selected object will appear in the search results, and no duplicates will show.

By following these steps, only notes related to the specific object you selected will appear in the search results, eliminating user-related notes.
